Set time on IP Office

VM Pro/Manager:

The time is normally obtained using Time protocol (RFC868) requests. Note this is different from Network Time Protocol (NTP). The Voicemail Pro server and the Manager program can both act as Time servers, other RFC868 server sources are not supported.

If the IP Office system time is wrong, open Manager, and check:

System ➤ System tab ➤ Time Setting Config Source = VoiceMail Pro/Managermantad1.png

Note that if you are running Manager when the Voicemail Server starts, Voicemail does not start it’s time server daemon. Therefore, always close Manager before you start or restart Voicemail Pro.

Paging Via Voicemail Pro

Voicemail Pro can be used to deliver pre-recorded announcements. This can be useful when the same announcement is repeated frequently. This method requires the paging port to be an analog extension.

This method also removes the feedback loop that can occur on some sites as the page is first recorded and then played.

Example 1

  1. In Voicemail Pro, a new Module was added and named Page. vm_module_paging_01

    1. A Post Dial action was added to the module. The properties of the Specific tab were set as shown: post_wav

    We then saved and made live the new Voicemail Pro call flow. In Manager we received the IP Office configuration and created a new short code.

Custom Greetings in Voicemail Pro

If you want to create professional recorded auto attendant greeting, here is how.

 

1. Go find a Windows XP or Server 2003 machine – you know you have one somewhere – and copy this file C:\Windows\System32\sndrec32.exe and copy it to your Windows 7 or 8 machines.

2. Open the XP / 2003 Sound Recorder App:

3. Click File, Properties:

4. Click Convert Now…

5. Change your settings to

Format: PCM (that’s the default, so nothing to change here)

Attributes: 8.000 kHz, 16 Bit, Mono

To save yourself some time, after you make that selection do like I did and click the Save As… button and give it an easy to remember name such as “Avaya IP Office”.  Next time you can just select that item from the list instead of picking from the long list of possible attributes.

How to Manipulate Digits In VM Pro

For some of our other posts we routed calls by Area code.  If receiving 10 digits those would work.  But, for whatever reason, if you are inserting a “1” or “91” so you can dial from the call log.

If you are having caller ID come in and include the “1” for instance, we can strip that digit off.

Route Calls by Area Code in Voicemail Pro

There are a couple ways to route calls via caller ID.  Using database routing is neat and simpler, but you need Advanced Edition, so this will not work for Server Edition.  Using the “Variable Routing” action, makes this possible on Server Edition though.  Not as clean as a database, but it is what it is.

Voicemail Pro can use a “Variable Routing” action, to route a call based on a variable.  The variable we, obviously would use to route a call by area code, would be $CLI.

How to set up remote access menu

How to create a remote access menu, compliments to Kyle L Holladay, Sr.  R.I.P.

1. Download and extract the pre-configured module and associated .wav files

2. Copy the .wav files to x:\Program Files\Avaya\IP Office\Voicemail Pro\VM\WAVS\yyy\Custom (where x=the drive where VMP is installed and yyy=your locale, such as enu)

3. Import the module contained in the menuRemote.mod file into your current Voicemail Pro configuration.

4. Click on the Save & Make Live icon in Voicemail Pro to save the current configuration.

Create a Check-Hours Module in Voicemail Pro

Create a checkHours Module for all US Federal Holidays Kyle L Holladay, Sr, R.I.P.  This is just a subset of the AWESOME SBC (Standard Base Config) that Kyle created for IPO/Voicemail Pro, Downloaded here..

This document will provide instruction on how to create a checkHours module that can be dropped into your Voicemail Pro call flows that will allow all US Federal Holidays as defined by 5 U.S.C 6103 plus an additional 3 custom holiday conditions. Additionally this module will allow for 4 separate office hours to accomodate multiple offices or varying hours in different departments. Here is an example of how this new checkHours module can be used to route between a day and night auto attendant. The holiday greeting is played prior to the AA greeting and should be recorded similar to “Please note our offices will be closed on Thursday and Friday in recognition of the Thanks Giving Holiday” which would be followed typically by the night menu of something similar to “Thank you for calling Acme Toy Company, you’ve reached us outside of our normal business hours…”

Send a message to a group of people in Voicemail Pro

Sometimes you need to send a message to a bunch of recipients.  You have 2 options if using Voicemail Pro.

Users Personal Distribution List (Intuity Mode ONLY).

In 9.0, VM Pro can modify users distribution lists. (in pre 9.0 systems, you can only modify on the mailbox using the TUI)  Each user can have 20 Distribution lists, and each list can have up to 360 mailboxes in it.  These lists can be public (can be used by anyone) or private (Used by everyone, but only the owner can modify the list.).

Log into the Voicemail Pro Admin client. Click the name of the server in the upper right and go to Users.  Find the user you wish to create a Distribution list for, and right click, then “MailBox Details”.  Select the Personal Distribution lists tab.  Here you can name it, and add users.

Creating Conference bridge – Announcing Participants

Creating a simple conference menu is a common request, and with voicemail Pro, we can announce the attendees.  There are a few things we would need to set up first.

Here is the conference module we will make:

1.  First we need to make a short code for all users to have a conference bridge.  Here we use 7 and our extension number (407 for testing).

Shortcode Conf

This is what Voicemail Pro will transfer callers into for a bridge ID.  Also, if there are user internal, they will be able to dial 7XXX, where XXX is the extension number of the conference host.

Change Conf Passwords

In the past we have added a conference bridge menu to IPO Office and Voicemail Pro.  We have also added the ability for a user to set a password in Manager, and use that password in order to gain entry into the conference bridge.

This was good, but the IP Office system admin would need to add the password manually, and change when needed.  Now, we would like to give a user the ability to set their own password and change it as well.
